Food Trucks on Wilfrid Laurier University Campuses  

This application process applies to all members of Wilfrid Laurier University who wish to utilize the services of a Food Truck for any event on University premises. The purpose of this process is to ensure that all food being served on campus is safe and adheres to the guidelines and recommendations of the Waterloo Region Public Health, Brant County Health, and Halton Region Public Health Units. For the purpose of this application process, “Food Truck” is defined as any mobile self-contained food vendor that does not require connections to University services (e.g. electricity, water). Food Trucks may only operate on University premises at times and locations that are approved via this process.  

  1. The Associate General Manager of Food Services, or designate, has oversight of this process and will work with applicants/organizers to review and approve Food Truck requests.
  2. Applicants/organizers should submit their request no less than ten (10) business days in advance of the event to allow Food Services to review the request and determine eligibility and availability.
  3. In evaluating a Food Truck application, Food Services shall determine the appropriateness of utilizing a Food Truck for the requested event, taking into account the following:
    • the nature of the event
    • the time of day, day of the week, and time of year of the event
    • expected attendance and sales or whether the Food Truck is being paid to provide service
    • the type of Food Truck(s) requested
    • any alternate food options that will be available to attendees
    • conflicts with other University events or programming
    • contingencies for inclement weather
    • any other applicable factors (e.g. ability to park during winter months; requirements for utility services; noise, etc.)
  4. Food Services will collaborate with Parking Services, Facilities & Asset Management, and the event organizer to identify an appropriate location for the Food Truck that is accessible; safe for pedestrian traffic; does not block fire laneways, sidewalks or vehicular traffic; and does not interfere with University activities or functions. For clarity, Food Truck Vendors are not permitted to use amplified sound or loud generator noise where it may interfere with the University’s activities. A list of potential Food Truck locations has been developed in collaboration with Parking Services subject to approval based on event details. 
    • Waterloo Campus:
      • Lot 42 – DAWB Loading/Drop-Off Area
      • Lazaridis Hall – Loading Dock Area
      • Lazaridis Hall – Pull-Off Area
      • University Stadium – Inside Ticketed Area
      • Lot 7 - Northdale Campus – Upper Lot
    • Brantford Campus
      • RAC/Post House Lot – Identified Area
    • Milton Campus
      • Right side of Front Entrance near the Building
  5. Approved Food Trucks must provide the following information to Food Services a minimum of five (5) business days in advance of conducting business on campus:
    • Valid Business License
    • Public Health inspection pass
    • Certificate of liability insurance, including vehicle insurance, in the amount stipulated by the University’s Enterprise Risk Management policy
    • Food Handler Certificate(s).
  6. All approved Food Trucks are subject to a permit fee to be paid through Food Services. The current permit fees are as follows:
    • > 4 hrs - $250.00
    • > 8 hrs - $450.00
    • > Longer than 8 hours - $150.00 for each additional consecutive 4hr block
    • For events where food is pre-paid for attendees, the permit fee is payable by the requesting applicant.
    • For events that are open to the general community and involve the Food Truck selling food to the public, the permit fee is payable by the Food Truck operator or by the requesting applicant in advance of the event.
  7. Unless a Food Truck is being paid to provide a catered service for the event, event organizer(s) must consider the realistic level of attendance and the sales volume that is expected, as this will influence whether Food Trucks will accept a particular booking and/or remain on site for the duration of the event.
  8. Nothing in these processes should be construed as allowing the serving of alcoholic beverages.
  9. The applicant organizing the Food Truck is responsible for ensuring that the Food Truck vendor removes all recyclable materials and waste at the conclusion of the event. Any necessary pre-event set-up or post-event clean-up work conducted by Food Services shall be at the event sponsor’s expense.
  10. Failure to comply with these regulations may result in loss of space and/or Food Truck booking privileges or other sanctions.
